Open Position: Director of Academic Advising

Madonna University is currently accepting applications for the Director of Academic Advising.

Essential Duties and Responsibilities

  • Advise and assist new and continuing undergraduate students with course selection, program planning, and registration.
  • Provide individual guidance in the process of declaring an academic major that best fits student’s interests and career objectives. Assist students with the processing of the “Change of Academic Record” form.
  • Assist students in attaining approval of transfer and study abroad credits, waiver of requirements/deadlines and other related matters.
  • Provide timely and appropriate academic advising/intervention for at-risk students, especially for students who are on academic probation and/or have been terminated/reinstated to the institution.
  • Coordinate the process to determine course equivalency for CLEP, DSSTs, Computer Literacy Challenge Exam, Prior Learning Portfolios, and the Online Consortium of Independent Colleges and Universities (OCICU), and courses from various community colleges.
  • Participate in new student orientations to ensure that all incoming undergraduate students are fully informed about curriculum requirements and college expectations.
  • Produce and disseminate appropriate literature related to academic advising, curriculum planning, prior learning, and other academic policies and procedures.
  • Manage/maintain Advising Module of Jenzabar student data system and train advisors on usage.
  • Manage the Academic Advising budget (e.g., prepare, submit for approval, and manage expenditures).
  • Provide direct supervision to the staff in the Office of Academic Advising (i.e., Secretary, and 3 Academic Advisors).
  • Analyze advising and retention data and recommend/implement improvements.
  • Serve as a resource to students, faculty, staff, and parents/guardians regarding academic programs and related policies and procedures. Create and implement new advising-related policy and procedures as needed.
  • Develop and implement the training program for all faculty/professional academic advisors to assist them in remaining up-to-date with all new programs, services, and academic policies and procedures voted on by the Curriculum, Educational Policy, and Assessment committee. Provide support to faculty who need assistance in fulfilling their Academic Advising role.
  • Assist with scheduling of courses for the Collaborative Studies program and all undergraduate offerings. Review drafts of schedules each semester and contact appropriate deans regarding potential scheduling issues/conflicts.
  • Prepare and maintain the Four-Year Cycle of Courses and the Sample Plans of Study.
  • Attend and actively participate in various Institutional Standing Committees, Faculty Standing Committees, and other working groups (e.g., Curriculum, Educational Policy, & Assessment; Student Retention; First-Year Experience; Student Affairs &Services; Campus Diversity and Inclusion; Faculty Professional Development; Writing Assessment Workgroup; Advising Team, Title III Core Team, and others).
  • Serve as an Activity Director on the Core Team for the Title III grant.
